Reflections from Shadowing a Coordinator at The Booking House
Every now and then, a wedding day comes along that stays with you long after the lights are turned off. This past weekend was one of them. Our VIP couple, Lauren and Andrew, brought so much meaning and emotion into The Booking House that it reminded me why I love what I do.
I spent the day shadowing our coordinator, Aalea, watching the flow of the event, stepping in to help where I could, and taking in the movement behind the scenes. Seeing the day unfold from her perspective gave me a deeper appreciation for how much coordination and care goes into every moment of a wedding.
Watching the Day Take Shape

What struck me first was how calmly and naturally the day began. Brittany, our fearless manager, set the tone early by checking in with staff, making sure the setup was on track, and keeping an eye on the details that set the foundation for a smooth day.
Later on, I saw her polishing champagne flutes between cues, checking each one before placing it on the tables. After that, she helped detail the reception space — straightening chairs, adjusting place settings, and making sure everything felt intentional and welcoming. When it came time for the champagne pour, she stayed and helped with that as well, moving table to table with steady hands and a calm presence.
Not everything goes perfectly at every wedding, and when the bride called us with a difficult situation, Brittany jumped right in. She made the necessary adjustments, reassured everyone, and turned what could have been a stressful moment into a smooth solution. Watching her throughout the day reminded me how much quiet leadership it takes to create a seamless experience.
Madison and Steph were assisting vendors throughout the day and were instrumental during the room flip. They helped move items, reset the space, and made sure everything that needed to be in place was exactly where it belonged. They also greeted guests with warm smiles and a genuine welcome into the space, setting such a positive tone the moment people walked through the doors. Their steady presence and willingness to jump in wherever needed made the entire transition smooth and efficient.
White Glove Service at the Bar
The bar was its own kind of art that night. Emily and Brenna created an amazing setup with fresh flowers, craft cocktail menus, and the liquor displayed on the shelves with soft backlighting. It immediately caught your eye the moment you walked into the room.
Throughout the evening, they kept the bar spotless and beautifully organized — refreshing ice, wiping counters, adjusting florals, and resetting garnishes with care. They delivered white glove service with the biggest smiles. You could tell they genuinely love what they do, and guests felt that energy the entire night.

Behind the Scenes: Coordinating Every Detail
Shadowing Aalea gave me a front row seat to the rhythm of a wedding day. She directed everyone with confidence and clarity, orchestrating a fantastic event from start to finish. There is an ease to the way she manages people and details — steady, thoughtful leadership that keeps the whole day moving forward. And if she ever does feel flustered, no guest would ever know it. She never folds under pressure and has a way of helping everyone around her stay focused and calm, no matter what is happening behind the scenes.
She kept the timeline on track, communicated with vendors, and made sure the bridal party always knew what was happening next. I watched her step into small moments that most people would miss: adjusting the flow of the lineup, quietly fixing a boutonniere, reminding a vendor of the next cue, or stepping into the bridal suite with gentle guidance just when it was needed.
Gretchen was right there with her, placing candles, preparing table numbers, adjusting small details, and keeping the little things from piling up. Together they created a smooth, almost invisible choreography behind the scenes.

The Flip: A Transformation in 45 Minutes
One of my favorite parts of any wedding is the flip from ceremony to reception, and this one was incredible to watch.
In about 45 minutes:
• Tables and chairs were placed exactly where they belonged
• Everything was aligned and counted for
• The caterers laid out china and silverware
• Our team followed with florals, candles, and centerpieces
• Champagne flutes were set, poured, and candles were lit
The room went from quiet and ceremonial to warm, glowing, and ready for celebration. Seeing it happen while shadowing the process made the transformation feel even more magical.
A Family Filled With Love
This family had lost someone incredibly important this year, and the way they honored and carried that person’s memory throughout the day was deeply moving. The moment that truly stayed with me was watching Lauren walk herself down the aisle. The emotion in that moment was powerful. You could feel the strength of their bond, the closeness of the family, and the love they had for the one who was missing.
It was one of those moments that makes you pause and remember what weddings are truly about.

Aalea received the message from Lauren and shared it with the entire team. It brought a light into everyone’s day. Seeing how their quiet work behind the scenes made such an impact meant a lot to all of us.
A Season of Gratitude
As we head into Thanksgiving, I find myself incredibly thankful for the couples who trust us with one of the biggest days of their lives, and for the team that brings these days to life with care and intention. Shadowing Aalea reminded me how much passion goes into every detail. Watching this family celebrate reminded me of the heart behind every wedding.
Together, those two things made this weekend one I will not forget.
